How it works

From scattered portals to a daily short list.

RFP Tracker watches every LA municipal procurement source so you don’t have to. Here’s exactly what happens from the moment you connect your profile to the moment you decide to bid.

  1. 01

    Connect your company profile

Add your services, NAICS codes, certifications (SLB, DBE, WBE), insurance coverage, bonding capacity, coverage geography, and any existing bid documents. This becomes your bid-readiness fingerprint — the benchmark RFP Tracker measures every opportunity against.

    Detail

The more complete your profile, the more precise your fit scores. You can add documents like your W-9, general liability certificate, and capability statement at any point.

  2. 02

We watch LA municipal procurement 24/7

RFP Tracker continuously monitors City of Los Angeles (via RAMP-LA), LA County (via lacobids.lacounty.gov), LADWP, Los Angeles World Airports, and SAM.gov federal listings. Every new RFI, RFP, RFQ, IFB, and Award notice is ingested as soon as it posts.

    Detail

Unlike manual portal checks, RFP Tracker catches the RFI stage — the market research phase that runs 4–8 weeks before an RFP is published. This is when you can actually influence the solicitation.

  3. 03

AI extracts the signals that matter

For every new solicitation, our AI reads the full document and extracts: agency, estimated value, deadline, set-aside type, NAICS code, insurance thresholds, bonding requirements, geographic restrictions, key disqualifiers, and subcontracting participation goals.

    Detail

This replaces the 30–90 minutes you'd otherwise spend downloading a PDF, reading the cover page, and hunting for the eligibility section. You get that information in seconds.

  4. 04

Your feed shows a ranked short list

Each opportunity appears in your feed with a fit score (0–100), a go/no-go recommendation (Strong fit, Good fit, Watch, or Blocked), a list of document gaps that would block your bid, the recommended next action, and a deadline countdown.

    Detail

The fit score weighs your profile against the solicitation's requirements. A 'Blocked' status means at least 3 hard disqualifiers exist against your current documents — the system tells you which ones.

  5. 05

Act on what the math likes

Click any opportunity to see the full AI summary, key metrics, source link, and exactly what you'd need to submit a compliant response. For Award notices on prime contracts with participation goals, the feed tells you which prime won and when subcontracting outreach is typically expected.

    Detail

When you're ready to pursue a bid, open the source record directly from RFP Tracker. The first submission always happens through the agency's official portal.

Common questions

Does RFP Tracker automatically submit bids on my behalf?

No. RFP Tracker handles discovery and qualification. Bid submission always happens through the agency's official portal (RAMP-LA, lacobids.lacounty.gov, LADWP Supplier Portal, etc.). We tell you what's worth pursuing and what's blocking you — the submission is yours.

How current is the data?

RFP Tracker ingests new solicitations as they are posted on agency portals, typically within hours of publication. The feed refreshes continuously throughout the day.

What happens if I don't have an SLB or DBE certification?

You can still track and bid on any open solicitation. Certifications affect your bid preference score and eligibility for set-aside contracts — the system will flag when a certification would unlock a preference advantage for a specific opportunity.

Can multiple people on my team use RFP Tracker?

The current Scout and Pro plans are per-company access. Team member management is on the roadmap.

What if I find a contract that's not in the feed?

Email us the source URL and we'll investigate. Our data coverage is expanding and we prioritize sources based on user requests.
